There are jobs to be done beforehand & on Fair Day & every little bit of help goes a long way towards insuring the Fair continues for future generations of home educated children & their families to enjoy. Volunteer Helpers make the fair work every year!
This page lists some of the areas of need for our helpers. Please be sure to sign up (on your Registration form) for one of these areas, or you may also contact us via email Your small amount of time helping out will contribute to the overall success of the fair - be a part of it!
Project Check In Helpers - On the Saturday, mid-May Project Check-In, several helpers are needed to receive the hundreds of projects. You will make sure things are properly labeled and keep the line of families running smoothly. When you come to drop off projects, stay a little longer and help out!
Saturday Setup - The Saturday before the fair is when we 'prep' the gym and fill it with the projects. There are tasks of all shapes and sizes which require helpers of all kinds. Men, women, and helpful children and teens fit the requirement. Tables need to be arranged, partitions assembled, ribbons put on projects, projects mounted on partitions, to list some of the tasks. An hour or two of your time will be most helpful. Work begins at 8:15 and lasts all morning. Come and help for an hour or two. There is a Task List posted in the entrance of the gym to help you decide where you can help!
Fair Day - The day of the fair has many, many opportunities for service.
Vendor Gate Monitor - 6:30am-9:00am. Helps the Booth Coordinator at the NE Vendor gate. An older teen would be able to help at this position.
Gym Gate Monitor - 7:30am-9:00am. Stands by gate at gym to control vehicle traffic onto the campus. An older teen would be good for this position. Note that they will be working alone; if they have a cell phone, they will be able to contact Committee members if questions arise.
Baked Goods Check-In Helper - 7:30am-9:00. Helps the Project Check-In Coordinator with checking in baked goods entries. An older teen would be able to help at this position.
Admissions - 2 Hour timeslots. The Admissions table is the entrance to the Fair. There is a Pre-Registration table and a Walk-up Registration table; there should be two helpers at each table. Written instructions are at each table. At least one helper per table should be an adult. The timeslots are:
7:30am-9:00am - 4 helpers needed (2 at Pre-Reg table / 2 at Walk-up table)
9:00am-11:00am - 4 helpers needed (2 at Pre-Reg table / 2 at Walk-up table)
11:00am-1:00pm - 2 helpers needed (Pre-Reg and Walk-up tables are combined at this time)
1:00pm-3:00pm - 1 helper needed
3:00pm-4:00pm - 1 helpers needed
Olympics Registration Table - 1 Hour timeslots. The Olympics Registration table is out in the field (under a pop-up shade covering) and manages the judging cards for participants. Written instructions are provided to use computer system to print walk-up cards and enter results. Older teens can help at this position. The timeslots are:
9:00am-10:00am - 2 helpers needed
10:00am-11:00am - 2 helpers needed
11:00am-12:00pm - 2 helpers needed
12:00pm-1:00pm - 2 helpers needed
Olympics Field Judges - 1 Hour timeslots. The 4 Olympics events need a judge for each one to measure time or distance and then record the results on the participants score card. Older teens can help at this position. The timeslots are:
9:00am-10:00am - 4 helpers needed
10:00am-11:00am - 4 helpers needed
11:00am-12:00pm - 4 helpers needed
12:00pm-1:00pm - 4 helpers needed
Obstacle Course/Inflatable Slide- 1 Hour timeslots. 1 (or 2) people are needed to help oversee the Obstacle Course. Helpers collect money, time each participant, and hand out participation ribbons. Older teens can help at this position. The timeslots are:
9:00am-10:00am - 1 (or 2) helpers needed
10:00am-11:00am - 1 (or 2) helpers needed
11:00am-12:00pm - 1 (or 2) helpers needed
12:00pm-1:00pm - 1 (or 2) helpers needed
1:00pm-2:00pm - 1 (or 2) helpers needed
2:00pm-3:00pm - 1 (or 2) helpers needed
Baked Goods Auctioneer - designated Baked Goods entries will be auctioned in early afternoon (see Events Schedule for specific time). The auctioneer will call the auction of each item.
Clean Up - At 4pm the fair closes but help is needed to pickup any trash on the grounds, take down banners and streamers, take down Project partitions, put tables away, etc.
Committee Positions - Families involved on the committee receive free admission!
Events Coordinator- (Available position) Contact groups about events/exhibits/clinics; manage forms/paperwork
Vendor Booth Coordinator- (Currently unavailable) Solicits vendors for fair, receives their payments & contracts, assigns them booth space, checks them in on fair day.
